Cancellation Policy

We require at least 24 hours' notice for any cancellations or rescheduling requests. The following fee structure applies to all cancellations made by clients:

Session credits can be used toward future tutoring sessions and do not expire. Refunds are processed to the original payment method within 7–10 business days.

Cancellations and rescheduling requests can be made through any of the following methods:

• Online Portal: Log into your TutorBird parent portal to cancel or reschedule sessions directly
• Phone: Call us at (775) 241-8817
• Email: Send a message to battleborntutoring@gmail.com

All cancellation requests must be confirmed by Battle Born Tutoring to be considered valid. Please ensure you receive confirmation of your cancellation or rescheduling request.

Eligible Refunds

Refunds are issued in the following situations:

• Cancellations made 24+ hours in advance
• Sessions cancelled by Battle Born Tutoring
• Prepaid sessions or packages that are not used

Refund Timeline

Approved refunds are processed within 7–10 business days to the original payment method. Please allow additional time for your bank or payment provider to post the refund to your account.

Session Credits

Instead of a refund, you may choose to receive a session credit that can be applied toward future tutoring sessions. Session credits do not expire and can be used at any time.

Student Late Arrivals

If a student arrives late to a session, the session will still end at the scheduled time. The full session fee will be charged regardless of late arrival. We encourage students to log in or arrive 2–3 minutes early to ensure the full session time is utilized.

Early Departures

If a student needs to leave a session early, the session fee is still charged in full. If you know in advance that a session will be shorter than scheduled, please let us know when booking so we can adjust the session length and pricing accordingly.

Severe Weather

In cases of severe weather that makes travel unsafe, Battle Born Tutoring may cancel in-person sessions. Affected families will be notified as soon as possible and will receive a full refund or session credit. We will work with you to reschedule the session at a mutually convenient time.

Family Emergencies

We understand that emergencies happen. If you experience a genuine family emergency that prevents you from providing 24 hours' notice, please contact us as soon as possible. We will review the situation on a case-by-case basis and may waive cancellation fees at our discretion.

Technical Issues (Online Sessions)

If technical difficulties prevent an online session from taking place, the session will be rescheduled at no charge. If the issue is on the student's end (internet connectivity, device problems, etc.), the standard cancellation policy applies. If the issue is on the tutor's end, a full refund or credit will be issued.

College Prep Packages (SAT/ACT)

College Prep packages are non-refundable once sessions have begun, except in the case of a documented emergency. If you need to cancel before the first session, a full refund will be issued minus a $100 administrative fee.

Session Packages

If you purchase a package of sessions (e.g., 10 sessions at a discounted rate), unused sessions may be refunded on a pro-rata basis, minus any applicable cancellation fees. Please contact us to discuss your specific situation.

Ongoing Tutoring Relationships

You may discontinue ongoing tutoring services at any time. Any prepaid sessions that have not been used will be refunded according to the standard refund policy.

A "no-show" occurs when a student does not attend a scheduled session and no cancellation notice is provided. The following applies to no-shows:

• The full session fee will be charged
• No refund or session credit will be issued
• Repeated no-shows (3 or more within a 60-day period) may result in termination of services

We understand that occasional no-shows happen due to forgetfulness or miscommunication. If you believe a no-show was recorded in error, please contact us within 48 hours to discuss the situation.

In the event that Battle Born Tutoring must cancel a session, the following applies:

• You will be notified as soon as possible via phone, email, or portal message
• A full refund or session credit will be issued at your preference
• We will make every effort to reschedule the session at a mutually convenient time
• Battle Born Tutoring is not liable for any indirect costs or inconveniences resulting from our cancellation

While we strive to maintain consistent scheduling, tutor availability may occasionally change due to illness, emergencies, or other unforeseen circumstances. We appreciate your understanding in these situations.

Rescheduling requests follow the same 24-hour notice policy as cancellations. If you need to reschedule a session:

• Request the change at least 24 hours before the scheduled session
• Rescheduled sessions are subject to tutor availability
• If the rescheduled session cannot be accommodated, you will receive a full refund or session credit
• Rescheduling requests made less than 24 hours in advance may be subject to the late cancellation fee

We encourage families to reschedule rather than cancel when possible, as this helps maintain consistency in your student's learning progress.

Battle Born Tutoring reserves the right to make exceptions to this policy on a case-by-case basis. We are committed to working with our families and finding solutions that support your student's educational journey.
